Consumer video vs compliance
FaceTime & WhatsApp for Inspections: Why Consumer Video Fails an Audit
It is fast, everybody has it, and it puts customer contact details and inspection evidence on personal devices.
Field teams reach for consumer video because it is instant and the customer already has it. The trade is invisible until something goes wrong: the evidence lives in an employee's camera roll, the customer's number lives in their personal contacts, and there is no record the company controls.
Side by side
| Dimension | Virtual Inspection Pro | FaceTime, WhatsApp, or a personal phone video |
|---|---|---|
| Who owns the evidence | The workspace, with role-based access | The employee's personal device and cloud backup |
| Offboarding an employee | Revoke access; the record stays | Evidence leaves with the phone |
| Customer PII | Held in the platform under a retention policy | In a personal contact list and message history |
| Consent record | Captured and logged before frames are processed | Verbal at best |
| Structured findings | Checklist items, notes, verdict, and signature | Free-form messages |
| Deletion on request | Policy-driven deletion across the record | Practically impossible to prove |
| Cost | Per-seat or per-volume subscription | Free |
The data protection problem
Under GDPR, CCPA, and most industry codes, the organization is accountable for personal data it collects, regardless of the device it landed on. Inspection media routinely contains far more personal data than teams expect:
Images of a private dwelling's interior and its occupants
Vehicle plates, documents, and identifying paperwork on desks or walls
Precise location data embedded in photos
The customer's phone number in a personal messaging thread
The evidentiary problem
A photo forwarded from a personal phone has no verifiable provenance. There is no way to demonstrate when it was taken, where, by whom, or whether it was edited between capture and filing. In a warranty dispute or claim denial, that is the first thing challenged — and the reason chain-of-custody sealing exists.
What to do if your team already works this way
Do not start with a policy ban; it fails because the consumer tool is genuinely easier. Replace the easy path with an easier one — an SMS link the customer taps once, no install, camera opens immediately — and the behaviour moves on its own.

Frequently asked
Is WhatsApp not end-to-end encrypted?
It is, and that protects the message in transit. Encryption does not address who holds the evidence afterwards, whether it can be deleted on request, or whether its provenance can be proven — which are the actual compliance failures here.
Our customers prefer WhatsApp. Will they use something else?
The adoption test is the join, not the brand. A link that opens the camera in one tap without an install has comparable completion rates, and you keep the record.
